STORY PTA JOB DESCRIPTIONS The purpose of the Story PTA is to support and foster the relationships between parents, students, teachers and administrators in order to provide an enriching learning environment. The effectiveness of your PTA is determined by the support and efforts of the parents involved. There are several ways to be engaged within the organization. Ideally, all Board and committee positions would be a two year commitment. Below are the descriptions of the positions that you can volunteer for: All positions must attend the meetings on the 3rd Tuesday of the month at 6:30pm. Summer training is offered for each Board position, pending funds available. President – Presides over all PTA meetings, including preparing agenda; approves all materials for distribution from PTA; ensures timely participation from all committee members; liaison to PTA Council. 1st V.P. Environmental –Responsible for Poster Contest around October 1st, promote recycle day, Earth week, recycling of eye glasses, coordinate Walk to School day, promote reuse a shoe contest, & other recycling programs. Assumes the duties of President in his/her absence. 2nd V.P. Programs – Coordinate a program for each PTA meeting and Family Fun Night. Advertises and sets up for all programs. 3rd V.P. Membership – Encourage all families to join the PTA. Distributes membership forms, collects forms, dues, inputs data for record keeping purposes. Must submit current list of all members and portion of membership dues to state PTA. Collects nominations for Honorary Life Members, orders tickets for banquet, certificates and pins. 4th V.P. Ways & Means – Determine and coordinate 2-3 fundraisers and school spirit wear sales. Secretary – Records, copies and distributes minutes of the executive and general meetings each month. Official record keeper for the PTA. Attendance at each meeting is mandatory. Treasurer – responsible for financial management of the PTA, makes all deposits, prepares budget, give reports and files taxes for PTA. A background in accounting is helpful. Historian – Obtain pictures and create scrapbook for the year of PTA events. Scrapbook must be completed by spring deadline for entrance in council PTA contest. Some guidelines provided. Parliamentarian – Ensures meetings are run according to parliamentary procedure. Familiarity with Robert’s Rules is recommended. Attendance at each meeting is mandatory. Standing Committees: Arts in Education – plan and coordinate 1 or 2 programs promoting music, art, or writing for school wide assemblies. Book Fair – organize two weeklong book fairs, one in the fall and one in the spring. Works with the Volunteer Coordinator to staff the book fairs and with the Treasurer to make all deposits and complete all financials for the bookfair. Box Tops – collects, processes, and mails box tops. Maintains records for each class. Submits updates for class contests to the Storyteller for publication. Campbell Soup Labels – collect, mails, maintains records. Works closely with Box Tops Coordinator. Submits updates for class contests to Storyteller for publication. Citizenship – Contact 6th grade teachers to submit 1 boy and 1 girl from entire 6th grade as top citizen for the year. Notifies students of award and invites them to attend May PTA meeting to receive their award. Presents students with citizenship certificate and Ford MS sweatshirt at May PTA meeting. Council Delegate – attends council PTA meetings (5 per year) and reports to membership. Hospitality – Provide snacks and refreshments for the general PTA meetings. Works closely with Programs chair. Publicity – maintains and updates PTA website Reflections – advertise and organize annual contest from council/state-guidelines/information is provided. . Room Representative – Recruit room parents for each classroom. Provide room parents with all necessary guidelines and forms needed for year. Send reminders to room parents prior to each class party. Storyteller – type and copy weekly articles for newsletter. Student Directory – distribute information forms to all Story families. Collect forms, compile information and type the list of students for electronic directory. Email directory to all PTA members Teacher Appreciation – organize snack for monthly staff meetings, set up for each meeting and clean up after. Organize Teacher Appreciation week theme. Set up and coordinate staff lunch during Teacher Appreciation week. Teacher & Student Scholarships – provides scholarship forms to Allen HS counselors and Story teachers. After submission deadline, form a committee to review scholarship applications and select winners. Notify all applicants of individuals that will receive scholarships. Invite scholarship winners to May PTA meeting and present them with certificate. Work with treasurer to submit all necessary paperwork for the scholarships. Volunteer Coordinator – distribute and collect volunteer forms to Story families. Compile a list of volunteers from information provided on forms. Provide list of volunteers to designated PTA chairpersons (bookfair, teacher appreciation, room parent, etc). Keep track of volunteer hours and present top 2 volunteers for year with an award at the May PTA meeting. Youth Protection – work closely with the counselor to promote Watch Dogs and Red Ribbon Week VOLUNTEERS In order to volunteer, you will need to fill out the form for the below link, get a confirmation response, and then touch base with Gerri Elsing to let her know you are approved to volunteer. |
