    INSTRUCTIONS:   After you click on the above link, find the “DOCUMENTS” tab on the top left of the reservation screen, there are step-by-step instructions on how to request space (Community Use Instructions). On the top right side of the screen, you’ll see "LOG IN TO REQUEST FACILITY USE".                                                                                               

    Allen Independent School District welcomes the use of District facilities by outside organizations/groups. However, such use of District facilities shall not be permitted when it interferes with the educational programs of any campus or District-scheduled activities - including facility maintenance and/or repair projects.
    Allen ISD is a tax-supported, non-profit organization established to serve the students and youth residing within the boundaries of the District. Therefore, classifications have been created to differentiate between the various organizations/groups (such as non-profit youth sports, scouting groups, for-profit organizations and civic groups, etc.) and the fees which each is charged. All organizations/groups within the same classification shall be offered fair and equal access to District facilities.     Allen ISD is dedicated to providing our students, staff and community with an educational environment that is attractive, functional, safe and inviting. All decisions regarding the use of the District facilities are made keeping this in mind. Being a taxpayer or applying for facility use does not automatically guarantee the right to use a school. The following process must be followed for consideration:
    General Requirements:
    A representative of the group or organization desiring to use a school facility shall submit an Application for Facility Use to the Allen ISD Facilities Department at least 30 days prior to the desired date of use. 
    The documents listed below are required to schedule a facility:
    Payment in full and proof of insurance are required 7 days prior to the event.

    Who is able to rent an Allen ISD facility?   All non-school groups utilizing district facilities must be based in, and serve the residents of, the Allen Independent School District. In addition, membership of youth-oriented groups must be made up of at least 80% Allen ISD residents.

    Facilities are not available for rent by individuals.  We try our best not to cancel non-school events, but when a conflict arises, district functions take priority over non-school group rentals.

    A facility monitor is required at all non-school events, and is added to the facility rental cost. 

    The monitor is:

    • responsible for coordination of setup for each event;
    • responsible for disinfection before and after each event;
    • the liasion between AISD and the rental organization;
    • on-site before and after each rental event to make sure District security protocols are followed.


    How do we obtain the insurance required by the District for use of facilities?  Contact your insurance agent with the insurance requirements listed above. Some athletic organizations, such as AAU, may have this type of insurance available through your membership with them.

    How much advance notice is necessary to reserve a facility?        

    Requests fcalendar or building use should be received no later than 30 days prior to your event.  Time is needed to contact and verify availability with the school, schedule custodians and any other workers that may be needed for the event.
    Please complete and submit paperwork in a timely manner so that all necessary departments can be notified.

    Can I just call my neighborhood school to request the use of a facility?     Unfortuately, no. Proper procedures must be followed and several departments are notified once an event is scheduled.  Therefore, all reservations must be approved by the District Facility Scheduling Coordinator, rather than directly thru the campus.
    Can I reserve one of the open or unfenced fields for my teams practices?   Most open areas and tennis courts on school grounds are available for public use during non-school hours when they are not in use by District groups. They should be utilized for the purpose for which they are intended on a first-come, first-served basis.
    play3 Elementary school playgrounds are unlocked from 5:30 p.m. to 8 a.m., Monday through Friday and are available on the weekend.

    We do not schedule the use of these area, but ask that while on school property, groups must follow all District policies.
    Until further notice, the track at AHS closed to the public.  
    Why are facilities closed on the day before state testing?
    test2 The Allen ISD School Board, Administration, staff and our community place a high priority on our students' educational success. Closing our facilities to youth activities on the evening prior to state testing encourages students to come to school well-rested and prepared to do their very best work.
